When a sale happens you get an email and the order appears in the panel. Nothing needs to be done immediately — but here is the order of operations.
Check the payment cleared
An order marked paid means the money is on its way to your processor account.
Pack and print the label
Print from the order screen so the tracking number attaches to the order automatically.
Mark it shipped
This sends the buyer their tracking. Most support emails you will never receive are prevented by this one click.

If something goes wrong
Refunds are issued from the same order screen, in full or in part. The buyer gets an email; you do not have to write it.
